Bureaucratic Guidelines: Claiming Student Achievement Incentives to the Faculty

A. Requirements
- Active undergraduate students in the Faculty of Engineering at UGM.
- Have completed the SANG JUARA form in SIMASTER.
- Achievements are limited to 1st Place, 2nd Place, 3rd Place, and Honorable Mention at the international and national levels (as approved by Ditmawa).
- Only achievements within the competition period stipulated in the applicable regulations are eligible (see details below).
B. Disbursement Periods
There are FOUR DISBURSEMENT PERIODS per year. Disbursement data are sourced from SANG JUARA submissions approved by Ditmawa.
The disbursement schedule is as follows:
- March (competitions from the previous year may apply) — Disbursement in April
- June (only for competitions in the current year) — Disbursement in July
- September (only for competitions in the current year) — Disbursement in October
- October (only for competitions in the current year) — Disbursement in November
If the data submission deadline is met, please wait for the disbursement process. If the incentive is not disbursed within the expected timeframe, follow up via email. Note that disbursement may be deferred to the next batch if the submitted data is incomplete.
C. FAQ
- How long does the disbursement process take?
We cannot guarantee a specific timeframe. If the document submission is completed promptly and correctly, the funds will be disbursed within the designated month. - For team competitions, does every team member need to complete the process?
Yes, team data must be completed, and all team members must be students of the Faculty of Engineering. - How do I register?

Step-by-Step Guide
A. Registering for Incentives via SIMASTER
Read the guidelines for claiming student achievement incentives at UGM. Once the incentive application is approved by Ditmawa, the data will be forwarded to the Faculty of Engineering.
B. Filling Out Incentive Data
Incentive data will be sent via email. If no email is received, please check the spam folder.
Late data submission = delayed disbursement. Ensure timely data submission for on-schedule disbursement!
C. After Registration
If no funds are disbursed within one to two months, contact us via email.
Tutorial for Registering Achievements and Academic Activities
- Open the website: simaster.ugm.ac.id.
- Log in using your UGM SSO account.
- Navigate to the Academic and Student Affairs menu.
- Click on the Student Affairs menu.
- Select the Student Activities sub-menu.
- Click the Add Activity menu.
- Choose the Achievements (Sang Juara) option, then click Select Subfield.
- Fill out and complete the form, then click Save.
- Wait for the verification process until the status changes.
- If the status changes to Accepted, click to submit the incentive application.
- Fill out and complete the incentive form.
Finally, click Update Activity.
